What personal data we collect
We collect personal data only when you actively provide it to us. Currently, the only mechanism for data collection on this website is the contact form on our Contact page.
When you submit the contact form, we collect:
- Your name — to address you appropriately in our response
- Your email address — to reply to your inquiry
- Your institution or organization (optional) — to understand your professional context
- Your message — the content of your inquiry
We do not collect sensitive personal data (health, financial, political, or biometric information). We do not use cookies for tracking, analytics, or advertising. This website uses only technically necessary processes to deliver its content.
How we use your data
We use the information you submit through the contact form solely to respond to your inquiry. We do not use it for marketing, add you to any mailing list, or share it with third parties for commercial purposes.
If a professional relationship develops following your initial contact, we may retain relevant communications as part of our engagement records for the duration of that relationship and for a reasonable period thereafter for legal and accounting purposes.
Legal basis for processing (EU/UK visitors)
If you are located in the European Economic Area or the United Kingdom, we process your personal data on the following legal bases:
- Consent (Article 6(1)(a) GDPR) — you provide your information voluntarily by completing and submitting the contact form.
- Legitimate interests (Article 6(1)(f) GDPR) — responding to a business inquiry is a legitimate interest that does not override your rights and freedoms.
- Pre-contractual steps (Article 6(1)(b) GDPR) — where an inquiry leads to a potential engagement, processing your data is necessary to take steps at your request prior to entering a contract.
Data retention
Inquiries that do not develop into a professional engagement are retained for no longer than 12 months from the date of your last communication with us, after which they are deleted.
Where an engagement or professional relationship exists, we retain relevant correspondence and records for the duration of that relationship plus seven years from the date of its conclusion, in compliance with standard accounting and legal record-keeping requirements.
International data transfers
STP is based in the United States. If you contact us from the European Economic Area, the United Kingdom, or another jurisdiction with data transfer restrictions, your data will be transferred to and processed in the United States.
Our website is hosted on Netlify, which provides standard contractual clauses and appropriate safeguards for international data transfers. Contact form submissions are transmitted to us by email and stored in Google Workspace, which is also covered by appropriate transfer mechanisms under EU and UK data protection law.
Your rights
Depending on where you are located, you may have some or all of the following rights regarding your personal data. EU and UK residents have all of these rights under the GDPR.
Request a copy of the personal data we hold about you.
Ask us to correct inaccurate or incomplete data.
Request deletion of your data where we have no overriding legal obligation to retain it.
Ask us to limit how we use your data while a dispute is resolved.
Receive your data in a structured, machine-readable format.
Object to processing based on legitimate interests.
Where processing is based on consent, withdraw it at any time without affecting prior processing.
Lodge a complaint with your local data protection authority.
To exercise any of these rights, contact us at info@systemstransformationpartners.com. We will respond within 30 days. We do not charge a fee for reasonable requests.
EU residents may also contact their national supervisory authority. UK residents may contact the Information Commissioner's Office (ICO).
